About Link Cell Therapies

Link Cell Therapies (“Link”) is a biotechnology company based in South San Francisco, California. Founded in 2022 by Robbie Majzner, MD and Crystal Mackall, MD at Stanford University. Link’s proprietary logic-gating technologies allow for safe targeting of multiple antigens that are co-expressed selectively on cancer cells, thereby reducing the risk of on-target, off-tumor toxicity. This enables discovery of an entirely new landscape of “clean” target pairs, and development of next-generation CAR-T therapeutics for solid and liquid cancers. Link’s team features industry-leading scientists collaborating with top-tier advisors and life science financial and strategic investors committed to improving outcomes for cancer patients. Position Summary

We are seeking a proactive, highly organized Executive Assistant to support our Chief Executive Officer and the C-suite, while providing general administrative support to the Link team. Reporting directly to the CEO, the successful candidate will plan and schedule meetings, organize travel, own a range of internal and external communications, and adopt and leverage the technologies Link uses to run its business operations. This position is located in South San Francisco, California, and is primarily on-site.

This role is ideal for someone with 2–5 years of experience who thrives in a start-up environment. The successful candidate will be flexible and adaptable as priorities shift, bring a can-do attitude to every task, and anticipate needs before they arise. As the company grows, this person will play an important part in keeping the CEO, the C-suite, and the broader Link team organized, connected, and focused on advancing our programs.

Key Responsibilities

Executive Support to the CEO

  • Manage the CEO's calendar, including scheduling, prioritizing requests, resolving conflicts, and protecting time for key priorities.
  • Serve as a primary point of contact between the CEO and internal and external stakeholders, including board members, investors, advisors, and partners; handle correspondence with professionalism and discretion.
  • Coordinate logistics for board and investor meetings in partnership with the leadership team.
  • Provide certain administrative support to C-suite leaders as needed, helping to coordinate scheduling requests and competing priorities across a small leadership team.

Meeting Planning & Scheduling

  • Schedule and coordinate internal and external meetings, often across multiple time zones and calendars.
  • Plan and execute logistics for executive team meetings, all-hands, offsites, and company events, including venues, catering, AV, and materials.
  • Coordinate visitor arrivals, conference room scheduling, and on-site meeting support.

Travel Coordination

  • Arrange domestic and international travel for the CEO and Link senior management team members, including flights, lodging, ground transportation, and detailed itineraries.
  • Manage conference and event registrations, and respond quickly to itinerary changes and travel disruptions.
  • Process expense reports and reconcile travel expenses in accordance with company policies for the CEO and other senior management team members.

Communications & Social Media

  • Draft, edit, and schedule posts for Link's social media channels, including LinkedIn, keeping content accurate, on-brand, and appropriately timed.
  • Support internal and external communications on behalf of leadership, including announcements, company updates, and stakeholder correspondence.
  • Help maintain a consistent voice across channels and coordinate approvals so nothing goes out unreviewed.
  • Track engagement and flag opportunities to raise the visibility of Link's science, team, and milestones.

Team Culture & Events

  • Support team-building efforts and culture initiatives that keep a growing, on-site team connected.
  • Plan and execute company events, celebrations, and offsites end to end, from concept and budget through day-of execution.
  • Maintain internal records for events, culture programming, and team activities so information stays easy to find and reuse.

General Administrative Support for the Link Team

  • Provide day-to-day administrative support to the Link team, including document management, filing, office supplies, and vendor coordination.
  • Maintain organized records, contact lists, and shared files so that information is easy for the team to find.

Technology & Business Operations

  • Adopt and become a power user of the technologies Link uses for business operations, such as Microsoft 365 (Outlook, Teams, SharePoint), calendar, travel, and expense management platforms.
  • Identify opportunities to streamline administrative workflows through better use of technology, including automation and AI-enabled tools.
  • Serve as a go-to resource for colleagues on shared tools and processes, helping the team get the most out of the systems in place.
  • Support purchasing, invoice routing, and vendor setup in coordination with the finance team.

Qualifications

  • A polished, professional demeanor with internal and external stakeholders.
  • Sound judgment and a high degree of discretion in handling confidential information.
  • Proactive, flexible, and adaptable, with a can-do attitude and comfort operating in a fast-paced start-up environment.
